Temporary PA

We are currently looking for an exceptional candidate to take on a crucial Temporary PA role for one of our biggest clients for an initial 4 weeks.

This is a senior position supporting Director level stakeholders, requiring the successful candidate to work at an incredibly fast pace however you will be working within a community of outstanding PAs.

Temporary PA Responsibilities

As the Temporary PA, your responsibilities will include:

  • Working closely with the PA community to provide effective support and increased value to multiple Senior Leaders
  • Managing and maintaining multiple Senior Leaders' diaries and emails
  • Coordinating and booking travel and accommodation requirements, and ensuring logistical arrangements are in place to meet those requirements
  • Scheduling internal and external meetings/events of varying sizes for Senior Leaders (including appraisals, client reviews, project reviews, internal company development, board meetings, interviews, team meetings and third-party advisers)
  • Providing support at/on regular meetings and calls; taking minutes, action-taking and monitoring these
  • Developing insight and industry knowledge to provide additional value
  • Preparing appropriate agendas/materials/briefing packs ahead of meetings
  • Organising and submitting expenses and timesheets
  • Preparing or updating meeting notes, PowerPoint presentations, simple standard legal documents and ad hoc administration
  • Providing holiday cover for other PAs

Temporary PA Experience

The ideal candidate will demonstrate:

  • Exceptional levels of personal drive and eagerness for personal development
  • An analytical mind, coupled with strong communication skills and a positive attitude (this is essential)
  • Extensive experience in an Executive/Personal Assistant role looking after multiple people
  • Experience of complex diary management and coordinating/booking travel and accommodation for remote based leaders
  • Ability to think ahead and anticipate needs before they arise
  • Successful relationship building throughout the business, being a team player
  • Calm under pressure, adaptable and responsive to ever-changing diaries and priorities
  • Proficient use of Outlook, Word , Excel and PowerPoint
  • Exceptional organisational skills; ability to multi-task, prioritise and organise others
  • Excellent oral and written communication skills
  • Discretion and confidentiality guaranteed
  • Attention to detail and deadlines

Starting immediately, this role is initially for 4 weeks, whilst a permanent candidate is sourced. If things go well in the booking you may be considered for the permanent role, but do be aware they are based quite remotely, and due to the rural location of the office, it is essential that you drive and have access to your own car. To note, this role does offer hybrid if a maximum of working from home 3 days a week.

Standard working hours are 9am-5.30pm, with 1 hour for lunch
