This is a new role, which will be pivotal in overseeing the Departmental Governance. You will be responsible for running the departments Committee Structure and supporting the joint Heads of Department, Head of Administration and Associate Heads.

The workload for the office is demanding, requiring first class judgement, personal organisation and flexibility, as well as an ability to work to deadlines.

Please note, this is a temporary, full-time position paid on a weekly PAYE basis. The role will start immediately, so sadly candidates with a lengthy notice period cannot be considered.

This is a new role, which will be pivotal in overseeing the Departmental Governance. Temporary Executive Assistant Responsibilities

Duties will include but are not limited to:

  • Plan and oversee the annual committee cycle, including logistical arrangements. Working closely with the Head of Administration and Joint Heads of Department, support the development of the newly formed committee structure ensuring that an effective process is established for servicing committee meetings throughout the academic year
  • Support the Department’s leadership in implementing succession planning for committee membership and develop and implement an induction process for new committee members. Including maintenance on records alongside researching and preparing draft reports for HoD’s
  • Be conscious of equality, diversity and inclusivity in governance and monitor committee membership to ensure fair representation
  • Maintain strict confidentiality, using tact and discretion and ensuring that all sensitive information and personal data are shared and stored in compliance with GDPR
  • Work closely and effectively with the administrative leadership team and administrative staff
  • Identify and implement improvements to administrative processes and reporting systems and encourage the sharing of best practice across the team
  • Support and participate in Departmental events (administrative training sessions / away days)
  • Take the lead on ad hoc project work as requested by the HoDs or Head of Administration

Temporary Executive Assistant Requirements

  • A flexible, can-do attitude, the ability to work effectively and demonstrable ability to work professionally with staff at all levels
  • Excellent leadership and team building skills
  • The ability to line manage staff, understand their development needs, and support them in their roles so they can achieve their full potential
  • Strong influencing skills and ability to gain trust and buy-in from stakeholders at all levels
  • Demonstrable ability to maintain tact and discretion, to handle confidential matters appropriately and an awareness of GDPR
  • Experience of managing the office of a senior member of staff in a complex organisation
  • Ability to draft correspondence, well-presented reports and to take accurate notes/minutes
  • Excellent computer skills including Outlook/Teams calendar management for senior members of academic staff, SharePoint/OneDrive, Word, Excel and PowerPoint
  • Excellent literacy (English) and numeracy, and a good level of education

The Location

This role is based in Central Oxford. Sadly, there is no parking available on site. However, the office is very easily reached via public transport or bicycle!
