Temporary Undergraduate Officer Responsibilities

Reporting to the Senior Academic Administrator, and working closely with the academic lead your main responsibilities will be:

  • Maintain shared email accounts
  • Maintain student files and ensure they are compliant with GDPR
  • Develop and maintain effective processes for the department, making best use of IT
  • Ensure processes are fully inclusive and that students have representation on committees
  • Attend relevant committees and take minutes for the committee
  • Write and maintain procedure documentation, and contribute to procedure improvements
  • Delegate effectively and refer work up to the Senior Academic Administrator as appropriate
  • Supervise work of the Assistants when assigned to support you with peak workloads
  • Undertake training as required to enhance your ability to perform well in your role
  • Provide comprehensive administrative support
  • Monitor and report on budgets for events, field trips and classes
  • Deal with Freedom of Information requests as and when required
  • Assist in the detailed analysis of exam results by gender and other equality markers so the Department can carefully monitor demographics

Temporary Undergraduate Officer Requirements

  • Experience of providing a high level of professional customer service
  • Experience working in an academic administration role
  • Flexible approach to work, with a ‘can do’ attitude
  • Proven ability to develop professional and effective working relationships with others
  • Ability to support more junior staff so they may reach their potential
  • Demonstrable ability to work under pressure, meet strict deadlines and maintain excellent attention to detail
  • Excellent organisational skills, the ability to manage multiple work streams and prioritise
  • Excellent communications skills, in writing and in person, able to communicate clearly and appropriately with students and with staff at all levels
  • Excellent literacy (English language) and numeracy, and a good level of secondary education
  • Excellent IT skills, including MS Office (Word, Excel, Outlook) and the ability to learn specialist software (e.g. eVision), and demonstrable ability to use IT to maximise efficiency
  • Experience of operating student admin information systems
  • An understanding of GDPR and how best to avoid accidental data sharing

Location

They are based in Central Oxford, (OX1). Due to their central location, sadly there is no parking available. However, there are excellent public transport links.
