We have an exciting administration/ secretarial opportunity to join an inspiring company within the scientific/medical education sector. This will be a busy and varied administrative role supporting busy clinical staff and members of the association, and building strong working relationships.
Administrator Responsibilities
As the Association Administrator some of your duties will include:
- Providing full administrative and PA support to a group of Surgeons and supporting the secretariat of the association
- Preparing agendas and writing documents
- Taking minutes and post meeting documentation
- Arranging international travel and associated documentation
- Social media promotion of membership and arranging events and networking dinners
- Liaising with the Treasurer and dealing with bookkeeping duties such as banking and expenses
- Attending local conferences and international congress meetings as required (travel and accommodation expenses covered but you must be Oxford-based)

Administrator Experience
To be successful in this Association Administrator role, you will be able to build strong working relationships and provide full administrative and PA support. You must have previous solid administration experience within a similar secretarial/ PA role with the gravitas to liaise with senior stakeholders, influence and advise and contribute ideas to improve processes. You must possess exceptional administrative, planning and organisational skills and the ability to prioritise workload and confidently chase up information with a high level of professionalism and emotional intelligence. You must possess advanced MS Office skills, and have previous working experience and knowledge of databases and applications. You must have experience of banking and expenses as you will be working with the Treasurer for bookkeeping, using Excel spreadsheets. Excellent English grammar is essential and fluency in a European language would be welcome. This client is looking for someone who wants a long-term career with them and they will offer continued development opportunities. This is a full-time, 12-month materbity cover opportunity with potential to go permanent and longevity in previous roles is important to this client, alongside a strong academic record such as a university degree, due to the nature of the organisation, their work and their stakeholders.
Location
This role includes travel for conference attendance/ executive, business and ad hoc meetings. An Oxford-based candidate is required. This is a full-time role (40 hours) and you must be available to work during standard office hours.
