Our client is seeking a proactive Executive Assistant to join their dynamic and fast-paced team, on a 12-month Fixed Term Contract. You will provide critical, high-level administrative support to the global executive team and senior leadership team in the UK.

Executive Assistant Responsibilities

This position will involve, but will not be limited to:

  • Provide high-level executive support to C-suite leaders, including complex calendar management, international travel coordination, and cross-time-zone scheduling.
  • Coordinate logistics for board meetings and executive events, including scheduling, preparation, travel arrangements, and on-site support.
  • Manage confidential correspondence, reports, legal documents, and board governance materials with professionalism and discretion.
  • Support fundraising and business development activities by coordinating meetings, tracking documentation, and managing follow-ups.
  • Drive administrative process improvements, assist with budget tracking, and oversee expense reporting and procurement support.
  • Act as a liaison between executives and stakeholders, ensuring timely communication and supporting strategic initiatives as needed.

The Company

Our client is a science-led start-up with 60 employees.

This is a full-time role working 37.5 hours per week Monday - Friday. They offer flexible start/finish times, but this role does require flexibility to support US time zones as required.

Executive Assistant Essentials

  • Experience as an Executive Assistant supporting C-suite executives, with a track record of managing complex calendars, coordinating international meetings, and overseeing high-level event logistics.
  • Exceptional organisational and time management skills, with the ability to prioritise effectively, anticipate needs, and deliver accurate work under pressure.
  • Highly adaptable and resilient, with the flexibility to navigate shifting priorities in a dynamic, fast-paced environment.
  • Strong interpersonal and communication skills, with the ability to build trusted relationships and collaborate confidently across all levels of an organisation.
  • Solutions-focused and proactive, capable of working independently while knowing when to seek input or escalate issues.
  • Prior experience in start-up or high-growth environments, and/or exposure to the life sciences sector is highly desirable; enthusiasm for contributing to a purpose-driven organisation is essential.

Location

This is a hybrid-working role based in Oxford, with free onsite parking available. However, there is a requirement to be flexible for office working, as per business needs.
